This Privacy Policy applies to the websites and software services offered by Delbig. In this context, the Delbig platform, especially https://delbig.com and https://app.delbig.com, Delbig CRM services and third party integrations used through Delbig are within the scope of this policy.
This policy; It explains how Delbig users, tenant/company managers, integrated businesses and the data processed during the communication and CRM services offered through Delbig are collected, used, shared, stored and deleted.

This policy covers the following data processing activities:
– Delbig account creation and management
– Tenant/company creation and management
– Keeping CRM, offers, orders, tasks and customer records
– Email, SMTP, Google OAuth, Meta/Facebook and WhatsApp Business Platform integrations
– Messaging, customer communication and related registration transactions via Delbig
– Security, auditing, error tracking, reporting and support processes
3. Categories of data collected and processed
Delbig may process the following categories of data depending on the nature of the service:

– Name, surname
– Email address
– Phone number
– User role and privileges
– Encrypted/password authentication data
b. Tenant and company information
- Company Name
– Tenant name
– Sector and usage information
– Database and workspace information
– Billing and subscription information
c. Technical and usage data
– IP address
– Browser, device and operating system information
– Session recordings
– Error logs, access logs and security logs
– In-app transaction records and audit trails

– Notes, messages, customer communication history added to CRM records
– Message contents, media files, delivery status records and conversation metadata sent/received via WhatsApp Business Platform or similar integrations

4. Purposes of processing data
Delbig processes personal and business data for the following purposes:
– Account creation, authentication and session management
– Establishing and managing the tenant/company account
– Executing CRM, sales, proposal, order, task and customer processes
– Providing email and messaging services
– Running WhatsApp Business Platform, Meta/Facebook and other third party integrations
– Customer relationship management, keeping communication records and carrying out operations
– Ensuring service security, performance, continuity and error tracking
– Providing user support
– Fulfilling legal obligations
– Measuring, reporting and improving service quality
5. Special explanation about Meta, Facebook and WhatsApp integrations
Delbig can provide Meta, Facebook and WhatsApp Business Platform integrations upon the request of users or tenant/company customers.
In this context, Delbig:
– Can process technical access information regarding the Meta/WhatsApp assets of the connected business
– Can process messaging, webhook, delivery status and conversation logs
– Can display, save and associate customer contact data in CRM in line with the instructions of the business
– Can store access tokens, integration settings and technical verification information if necessary
Delbig processes such platform data on behalf of the relevant tenant/business and for the purpose of providing the relevant integration service. Delbig does not use platform data belonging to one tenant for the benefit of another tenant.
Third-party platforms such as Meta, Facebook, WhatsApp or Google may also process data in their own systems. This policy covers Delbig's data processing activities only; The privacy policies of the relevant third parties also apply to their own data processing activities.
6. Tech Provider / service provider role
In some cases, Delbig can act as a technical service provider providing the communications, CRM and integration infrastructure used by a business.
In this case Delbig:
– Processes data on behalf of the relevant business/tenant
– Maintains data separation between businesses
– Does not mix data belonging to one customer with another customer account
– Does not use data other than providing the relevant service, ensuring security and fulfilling legal obligations
Delbig implements tenant-based data separation, access control and authorization mechanisms where possible.
7. Sharing of data
Data is not sold, rented or shared for commercial purposes with third parties except in the following cases:
– With the necessary infrastructure, hosting, e-mail, security, payment and technical service providers to provide the service.
– With third party platforms such as Meta, Facebook, WhatsApp, Google and similar, in line with the express instructions or integration preference of the user or the relevant tenant/company.
– With authorized public institutions and organizations in case of legal obligation
– Necessary professional service providers for technical support, security review, auditing or fulfillment of legal obligations
8. Data retention period
The data is kept for as long as it is necessary for the provision of the service and for the retention periods required by the relevant legislation.
The following criteria are taken into account when determining the storage period:
– Active account and subscription status
– Need for technical support and supervision
– Legal retention obligations
– Security, logging and dispute resolution requirements
– Whether the integration is active or terminated
When the account is closed or the deletion request is validly received, the relevant data will be deleted, anonymized or blocked from access, without prejudice to legal obligations.
9. Data deletion and deletion request
Users and relevant persons whose data is processed through Delbig may request the deletion of their data.

When making a deletion request, it must be clearly stated which account, tenant, integration or data category the request relates to. Additional verification may be requested for security purposes.
When evaluating deletion requests:

– accounting and billing obligations

If a data is processed by Delbig on behalf of the relevant tenant/business, the request may first need to be verified through the relevant business/tenant, depending on the requester's relationship with the relevant business. Delbig provides support to the tenant as appropriate.
10. International data processing and transfer
Due to the infrastructure or integration providers used by Delbig, data may be processed on servers or systems located outside Türkiye or transferred through these systems.
In such cases, Delbig tries to take appropriate technical and administrative measures. However, third-party service providers' own data processing is also subject to their own policies.
11. Security
Delbig implements appropriate technical and administrative security measures to protect the data processed. These measures may include access control, authorization, logging, backup, encryption or encryption-like protection methods, session security and system monitoring measures.
However, data transmission over the Internet or electronic storage cannot be guaranteed to be one hundred percent secure.
12. User rights
Relevant persons may have the following rights under the applicable legislation with respect to data regarding them:
